Inspections and Vendor Management
- On-site visits, as necessary to effectively manage the grounds, including supervision and inspection of contracted third-party contractors.
- Contract with suitable Vendors to maintain common areas in accordance with acceptable standards as established by the Board of Directors.
- Ongoing evaluation of and recommendation for long-term maintenance needs of the common areas.
- Negotiate and retain contracts and services, including utilities, trash removal, fire equipment, building equipment, and other contract services.
Fiscal and Accounting Services
- Assist in the development of a proposed Annual Budget
- Post and deposit monthly dues and assessments.
- Preparation and posting on individual Unit ledgers
- Payment and tracking of invoices
- Monthly reconciliation of all operating accounts and reserve accounts
- Monthly preparation and distribution of Statement of Cash Receipts and Disbursements statement, aka (monthly Executive Board packet)
- Preparation and mailing of delinquency notice and collection letters
- Assist in performance of audits
Meetings and Communication
- Attend Executive Board Meetings and present manager’s report
- Organize and prepare for Community and Special meetings
- Be a consistent and timely point of contact for Association Members
- Assist Executive Board in drafting communications to the Membership
- Maintain copies of all correspondence, letters, or documents sent
Homeowner Benefits
We also have an outstanding maintenance department that can provide services to the Association and Homeowners by managing most repairs at a reduced cost from outside vendors. Our maintenance technicians are experienced in plumbing, HVAC, electrical, steam and water boilers, roofing, gutters, and carpentry.
We will establish individual accounts for each homeowner in the Association based on the information we receive from the Board of Directors and/or previous management company. Every homeowner will have access to an online homeowners’ portal. The portal will be an efficient way for homeowners to make payments, access notices and documents, and make architectural or maintenance requests. Additionally, we will provide a public website to host your governing documents, meeting minutes, newsletters, and a calendar of events.
